The HubSpot integration keeps your contacts in step between HubSpot and Ciarem. Every conversation is logged on the HubSpot timeline with an AI summary, HubSpot properties can be used in templates and by the AI agent, and your team can send WhatsApp templates from HubSpot workflows and to HubSpot lists. Admins set it up under Settings > Integrations > HubSpot.

Plans

HubSpot is included on Growth and Scale, and during the free trial. It is not included on Solo. When a trial continues on Solo, HubSpot stops syncing, and Solo can’t be chosen while HubSpot is still connected: disconnect it first, or pick Growth or Scale. Your settings are kept, so upgrading later resumes the sync. See Plans and billing.

Open the HubSpot integration

Go to Settings, then Integrations, and click Connect on the HubSpot card.

Sign in to HubSpot

Sign in with a HubSpot user who can manage the portal, and approve access for Ciarem.

Finish setting up HubSpot

Back in Ciarem, a short setup asks for your import filters, your property mapping, and which HubSpot property holds your funnel stages. Nothing syncs until you finish it, so your choices apply from the very first contact.

While HubSpot is connected

Contacts are managed in HubSpot. The Contacts section is hidden in Ciarem, and template variables use the data synced from HubSpot. In the Inbox, a conversation’s details panel shows when the contact last synced, with View in HubSpot and Refresh from HubSpot.

What syncs

  • Contacts, both ways. Use Import filters to choose exactly which HubSpot contacts sync, by conditions on their properties. With no conditions, every contact Ciarem can reach is imported. A new contact from one of your channels is created in HubSpot once it has a name or an email.
  • Properties. In Property mapping, pick the HubSpot properties to bring into Ciarem so templates and the AI can use them. Mapping is read-only by default. Read and write also pushes edits made by the AI or your team back to HubSpot. Every mapped property needs a Description for the AI of up to 150 characters. The AI learns from it what the property means and when to fill it in, so phrase it as an instruction, for example “Set to true when the contact asks for a demo”. The AI only sets a property based on what the contact wrote.
  • Funnel stages. Under Funnel stages, pick the HubSpot dropdown property that represents your funnel, such as Lifecycle stage or Lead status. Its options become your stages in Ciarem, stage moves sync both ways, and the AI uses them to track each contact’s progress. A short description per stage helps the AI. Switching to another property later replaces every stage and its AI settings and resets each contact’s stage from HubSpot. This can’t be undone.
  • Conversations on the timeline. Every conversation is logged on the contact’s HubSpot timeline with an AI summary.
  • Tasks, both ways. With Sync tasks on (the Tasks tab), tasks created in Ciarem by your team or the AI appear in HubSpot, and tasks created in HubSpot on a synced contact appear in Ciarem. Completing, editing, and deleting sync too. Tasks attached only to a deal or a company are not imported. The contact’s owner in Ciarem is responsible for the task, whatever owner it has in HubSpot.
  • Workflow sends and lists. HubSpot workflows can send a WhatsApp template, and broadcasts can target your HubSpot lists.
  • Sends from a record. A card on HubSpot contact, company and deal records sends a WhatsApp template without leaving HubSpot. A HubSpot admin adds the card once. See Send WhatsApp from a HubSpot record.

Sync health

The integration page shows Sync health: the last sync, how many contacts are linked and not linked, contacts waiting to be created in HubSpot, and errors in the last 24 hours. A banner tells you when something needs attention:
  • Sync paused: the connection needs to be re-authorized. Reconnect from the banner.
  • Out of date: contact values in templates and AI replies may be stale until the next sync.
  • Permission needed: sending to a company’s or a deal’s contacts needs one more HubSpot permission. Click Grant access. Your connection and settings are kept.

Disconnect

Disconnect stops the sync and brings the Contacts section back in Ciarem. It removes what HubSpot brought in: the synced funnel stages (contacts lose their stage), the properties imported from HubSpot with their values, and your sync settings. Your data in HubSpot itself is not touched.
