A task is a dated to-do on one contact: call back about a quote, send the price with shipping, confirm a visit. Every task belongs to the contact’s owner, so it shows up for the person responsible for that customer. Open Tasks in the sidebar to see yours. The sidebar shows how many are due.

What a task carries

  • Title: what needs to happen, for example “Call back about the quote”.
  • Type: Call, Message, Meeting, or To-do.
  • Priority: Low, Medium, or High.
  • Due: the date and time it is due.
  • Note: context for whoever does it.
  • Attachments: up to 10 files.
A task has no separate assignee. The contact’s owner is responsible for it, and when the contact gets a new owner, its open tasks move with it. A task on a contact with no owner waits under No owner, where admins see it until someone owns the contact.

Create a task

  • From the Tasks page: click New task and pick the contact.
  • From a contact: open the contact’s Tasks tab and add one.
  • From the Inbox: use the tasks card in the conversation’s details panel.
  • By the AI agent: turn on Can create tasks for the team in the agent’s configuration. The agent then creates a task for the contact’s owner when a customer asks for something a person must do later, such as a call back or a quote. See Your AI agent team.
  • By an integration: Meta Lead Ads can create a follow-up task when its WhatsApp auto-reply can’t be sent, and HubSpot brings in tasks created there on a synced contact.
The owner gets a notification as soon as a task is created for them.

Work through your tasks

The Tasks page has two tabs, Open and Completed. Open tasks are grouped into Overdue, Today, and Upcoming. Search by task or contact name, and use Filters to narrow by due date (overdue, today, this week), by who created it (people, AI agents, or integrations), and by owner if you are an admin. Sort by due date, priority, creation date, or title. Click Mark as done when a task is finished, or select several and mark them done at once. A completed task can be reopened with Reopen. Creating and completing a task are both recorded on the contact’s timeline. Agents see the tasks on the contacts they own. Admins see every task, including the ones under No owner.
