Meta Lead Ads turns the Instant Form submissions from your Facebook and Instagram ads into Ciarem contacts. You choose where each form answer lands, can send a WhatsApp template to every new lead the moment they submit, and can save the campaign and ad each lead came from. Admins set it up under Settings > Integrations > Meta Lead Ads.

Connect a Facebook Page

Leads belong to a Facebook Page, so you connect the Page that runs your lead ads.

Open Meta Lead Ads

Go to Settings, then Integrations, and click Connect on the Meta Lead Ads card.

Sign in with Facebook

Sign in with a Facebook account that manages the Page, and tick the Page in Facebook’s dialog. If Facebook asks you to choose businesses, also tick the business that owns the Page.

Check your forms

The Page’s Instant Forms appear under Lead forms. A form you create later in Meta Ads Manager shows up there too. Click Refresh if you don’t see it yet.
To add another Page, use Connect page. Keep your already-connected Pages selected in Facebook’s dialog, because unticking one removes Ciarem’s access to it. A Page can only be connected to one Ciarem workspace.

Lead forms

The Lead forms table shows, for each form, its submissions, the contacts created, and how many need attention. Submissions that didn’t become a contact usually point to a mapping problem. A form shows Ready when every question has a destination, or how many questions are still unmapped.

Map the questions

Open a form to choose where each answer lands, under Question mapping. Standard questions such as name, email, and phone map on their own. Custom questions need a destination: a contact field or a custom property. Click Save changes. A mapping change applies to new leads only; leads already received keep the mapping they arrived with. When a multiple-choice question lands in a property with options, Answer destinations lets you choose which option each answer becomes. By default, each answer goes to the option with the same label. To pause a form, turn off Create contacts from this form. Its submissions are still saved, but no contacts are created while it’s off.

How leads match your contacts

A lead needs an email or a phone number to become a contact. Ciarem first looks for a contact with the same email, then one with the same phone:
  • No match: Ciarem creates a new contact, with the lead’s campaign or ad as its origin.
  • Match: the lead’s name, email, and phone only fill fields that are empty on the contact, so nothing your team or the AI agent already set is replaced. Custom properties you mapped are updated with the newest lead’s answers. An empty answer never clears a property.
A lead with neither an email nor a phone number isn’t imported. It shows in the form’s submission history with the reason.

Tracking and ad data

Under Tracking & ad data, you can save where each lead came from into contact properties:
  • Tracking parameters: the values set in the form’s settings on Meta, for example utm_source.
  • Ad data: the campaign, ad set, and ad name, and the platform (Facebook or Instagram).
Nothing here is saved unless you map it. When a lead matches an existing contact, these properties are overwritten with the newest lead’s values. The contact’s origin keeps the first campaign that brought them in.

When a new lead arrives

  • Auto-reply template: pick an approved WhatsApp template and it is sent to every new lead on this form as soon as they submit. Each send is charged to your WhatsApp wallet at Meta’s rate, like any template.
  • Create a follow-up task when the auto-reply can’t be sent: when this is on and no auto-reply goes out, either because no template is chosen or because it couldn’t be sent, Ciarem creates a task due 24 hours after the lead submitted, for the contact’s owner. A new lead usually has no owner yet, so admins find the task under No owner.
The auto-reply is skipped when the lead has no phone number, the number isn’t on WhatsApp, the template is missing a required value, your wallet balance is too low, the line’s messaging limit is reached, or the template’s WhatsApp line was disconnected. Each skip is shown with its reason.

Submission history

Each form keeps a Submission history with every lead’s outcome: the contact it created or updated, whether the auto-reply was sent, and why a lead didn’t become a contact.

Disconnect a Page

Disconnect stops new submissions from that Page from creating contacts. Your form mappings are kept and apply again if you reconnect.

Troubleshooting

My Page isn’t in the list

Facebook only lists the Pages your account has full access to. Being an admin of the business isn’t enough: in the Page’s settings on Facebook, under the people with access, give your account full control. Then click Connect page again. If Facebook asks you to choose businesses, tick the business that owns the Page.

”This Facebook Page is already connected to another workspace”

A Page can only send its leads to one Ciarem workspace. Disconnect it from the other workspace first, then connect it here.

”We can no longer read this page’s lead forms”

Ciarem lost access to the Page. This usually happens when someone unticked the Page in Facebook’s dialog, changed their Facebook password, or lost their role on the Page. Click Reconnect and keep the Page ticked in Facebook’s dialog.

Leads aren’t arriving

  • Check the form’s Submission history. If the lead is there, its outcome says why it didn’t become a contact. The usual causes are a paused form or a lead with no email and no phone number.
  • If the lead isn’t there at all, check that the Page shows as connected with no Reconnect warning.
  • Leads submitted before you connected the Page aren’t imported.
